Capture incoming post locally, extract it, attach deadlines and file it signed — on a single machine, without cloud. Our internal tool.
Post from authorities, courts and debt collectors contains deadlines that nobody may miss — and that a language model should not calculate. SmartScan captures stacks of post locally, extracts them with a vision model, calculates deadlines with tested code and files everything traceably. Uncertain cases go to a human.
The problem
Incoming post is busywork with liability risk. Cloud services for extraction are convenient, but post contains exactly the data that should not end up in someone else's hands. And deadlines are calculations with rules — not a case for a model that makes plausible estimates.
How it works
- 01 Capture directly from the network scanner or from a watched folder; devices only from our own network.
- 02 Image preprocessing: detect blank pages, deskew, sharpen stamp areas. The enhanced version goes to the model; the unaltered raw page goes into the PDF — for evidential value.
- 03 Extraction with a local vision model against a fixed schema: sender, recipient, date, document type, amounts, deadlines verbatim, legal relevance.
- 04 Deadlines are calculated in code, not by the model: deemed-service rules, public holidays, shifting to the next working day, appeal periods — every rule with a test against a specific calendar date.
- 05 Filing in a fixed folder structure on our own storage; in case of uncertainty or a missing mandatory field, a review task is created for a human. Always for reminders, court post or high amounts.
Sovereignty & evidence
- No network connection except to our own scanner, our own storage and the local model. No cloud, no external service.
- Every step lands in an append-only log: SHA-256 chain, every line with a post-quantum signature (ML-DSA-65). One command verifies chain and signatures.
- Raw scans remain unaltered, with a checksum per page in the log.
- No silent fallback: if a model, a language or the storage is missing, it is reported and logged — never quietly bypassed.
- Credentials in the operating system keychain, never in configuration files.
Why we show an internal tool
Because it is the smallest complete expression of how we work: the human decides, the model reads, the code calculates, the log proves. All on a single machine, without a single byte leaving the building.
What is still open
SmartScan is a few weeks old. Fundamental questions such as the retention of raw scans and the processing of e-mail post have not yet been decided. We will only quote a recognition rate once we have measured it.

- Can I buy SmartScan?
- No. SmartScan is an internal tool in pilot operation. We show it because it demonstrates in miniature how we build on-premise AI: locally, with tested code for everything that counts, and with a signed audit log.
- Does the AI calculate the deadlines?
- No, and that is the point. The model reads the deadline verbatim from the letter. It is calculated in code with tests — deemed-service rules, public holidays, shifting to the next working day. That is not legal advice but a rule that can be re-checked.
- What is the recognition rate?
- We do not yet have a reliable measurement for this, so we do not quote a figure. In the pilot, every legally relevant item has so far gone to human review.
